618 Bees Limited (“618 Bees”, “we”, “us” or “our”) is a technology-driven business registration and compliance filing platform, connecting individuals and businesses to independent attorneys and other professionals. We are committed to protecting the privacy and personal data of everyone who visits our website at www.618bees.com (the “Website”) or uses our services, including company registration, annual returns filing, and related document and compliance services (the “Services”).

This Privacy Policy explains what personal data we collect, why we collect it, how we use and protect it, and the rights available to you under the Nigeria Data Protection Act 2023 (“NDPA”) and, where applicable to visitors and clients based outside Nigeria, in a manner consistent with the EU/UK General Data Protection Regulation (“GDPR”).

1. Information We Collect

We collect the following categories of personal data:

Full name, email address, phone number, residential or business address.

For company registration and related filings: proposed company name(s), business objects, registered address, and details of directors, shareholders and company secretary (name, residential address, phone number, email, nationality, means of identification and identification number, passport photograph, signature, and share allocation).
For annual returns and post-incorporation filings: company registration number, prior filing history, and financial or statutory information required for the specific filing.

d) Payment Data

Billing details and transaction records. Card and bank details are processed by our third-party payment processor(s); 618 Bees does not store full card numbers.

e) Communications Data

Information you provide via our contact form, email, phone calls, or WhatsApp Business chat, including the content of those communications.

f) Technical and Usage Data

IP address, browser type and version, device information, pages visited, referral source, and cookies and similar technologies (see our Cookie Policy).

g) Professional Advisory and Transaction Engagement Data

Where you engage us for professional advisory or transaction services, we, in association with Hebrew & Leo Solicitors & Legal Consultants, may collect matter-related information necessary to advise you, which may include commercially sensitive or privileged information. This information is handled in accordance with applicable professional conduct and confidentiality obligations, in addition to this Privacy Policy, and is retained in line with the retention periods set out in Section 7 below and any professional conduct requirements applicable to the engagement.

Directly from you, when you create an account, place an order for a Service, complete a form, or contact us.
Automatically, through cookies and analytics tools when you use the Website.
From third parties, such as the Corporate Affairs Commission (“CAC”) or other regulatory bodies, where necessary to confirm or complete a filing made on your behalf.

3. Legal Basis For Processing

We process personal data on one or more of the following lawful bases recognised under section 25 of the NDPA (and, correspondingly, Article 6 GDPR for visitors to whom that regulation applies):

Contractual necessity - to perform the Services you have ordered (e.g. filing a company registration).
Consent - for marketing communications, optional cookies, and any processing where consent is the appropriate basis.
Legal obligation - to comply with statutory and regulatory requirements, including under CAMA, tax legislation, and NDPA.
Legitimate interests - to operate, secure, and improve the Website and our Services, and to prevent fraud, provided this does not override your rights.

4. How We Use Your Information

To process, deliver, and update you on the Service(s) you have ordered.
To create and manage your account.
To process payments and issue receipts or invoices.
To communicate with you about your order, including via email, SMS, phone, or WhatsApp.
To connect you with an independent attorney or professional where your matter requires legal advice beyond self-help document filing.
To comply with our statutory and regulatory obligations, including filings with the CAC, FIRS, or other government agencies.
To send marketing communications, where you have consented, and you may opt out at any time.
To maintain the security of the Website and prevent fraud or misuse.
To improve our Website and Services, including through analytics.

We do not sell your personal data. We may share it with:

Regulatory and government bodies - including the CAC and FIRS, where necessary to complete a filing or comply with a legal obligation.
Independent attorneys and professionals - to whom we connect you at your request or direction, who act independently and are separately bound by their own professional and confidentiality obligations.
Service providers - including payment processors, cloud hosting, and IT service providers who process data strictly on our instructions and are contractually bound to protect it.
Law enforcement or regulators - where required by law, court order, or to protect our legal rights.

6. International Data Transfers

Where personal data is transferred outside Nigeria (including to service providers operating outside Nigeria, or to the European Economic Area and United Kingdom in the case of relevant users), we take steps to ensure an adequate level of protection, including through contractual safeguards such as standard contractual clauses, or by relying on your explicit consent, in each case consistent with NDPA and, where applicable, GDPR requirements.

7. Data Retention

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, including to satisfy statutory retention obligations under CAMA, tax legislation, and other applicable law (which may require retention of corporate and financial records for a minimum of six (6) years), or as otherwise required by the National Data Protection Commission (“NDPC”). Where data is no longer required, we securely delete or anonymise it.

8. Data Security

We maintain appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction, including access controls, encryption where appropriate, and staff confidentiality obligations. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Access the personal data we hold about you;
Request correction of inaccurate or incomplete data;
Request erasure of your data, subject to our legal and statutory retention obligations;
